AI for mortgage brokers: the file never leaves the office.

A broking file is a stack of the most sensitive documents a household owns: payslips, bank statements, identity documents, credit information. Brokers drown in the paperwork AI is best at, and hold exactly the data that should never leak into cloud tools. An Ermos unit gives the brokerage the capability without the client file leaving the office. Our current unit is Dominion.

What your team does with it

Application file summaries

Condense payslips, statements and supporting documents into a structured position summary the broker verifies against the source documents.

Best interests documentation

Draft the file notes and comparison rationale that evidence why the recommendation fit the client, for broker review.

Client correspondence

Status updates, document requests and settlement correspondence drafted from the file, ready to send.

Lender policy lookups

Query your own library of lender policies and past scenarios, answered with citations to your documents.

Compliance file assembly

Pull the pieces of a compliant file together and flag what is missing before lodgement.

Scenario memory

Ask how a similar deal was structured last year and get the answer from your own files.

The compliance frame, plainly

Credit assistance runs under the National Consumer Credit Protection Act 2009: licensee general conduct obligations, responsible lending documentation, and the best interests duty for brokers recommending consumer credit. The file is the evidence. Client financials and identity documents are personal information under the Privacy Act 1988, and credit information carries its own stricter regime under Part IIIA. Every one of those frameworks turns on where the information goes and who can access it, which is the question an offshore AI tool makes complicated and a no-egress unit makes short.

Most brokerages live in Microsoft 365, so the natural comparison is Copilot: our Copilot comparison works the per-seat arithmetic and, from Microsoft's own documentation, where the AI processing happens.

Built for how a brokerage actually runs

Your Ermos unit is installed on your network and fully managed: monitoring, model updates and support included, with ErmosIQ learning your lenders, your templates and your file conventions. Unlimited users with no per-seat licences, so growing the team does not grow the bill.

The use case library

Process-level guides to running specific workflows on an Ermos unit, each on its own page. We add to this library as clients show us new ways they work.

Dominion is priced per unit, per month on a 12-month term, sized to your practice: unlimited users, no per-user licences, no usage charges. Exact pricing is confirmed in the scoping consultation.

Common questions

Can mortgage brokers use AI on client files?
The NCCP framework and the Privacy Act both make the brokerage accountable for how client financials, identity documents and credit information are handled. AI as capability is not the issue; transmission to offshore cloud services is. On-premise processing keeps the file inside the licensee's control.
Does it connect to our aggregator CRM?
The unit works over the documents and correspondence on your network, including Microsoft 365 stores. Aggregator system integration is assessed during scoping.
Is a flat fee realistic for a small brokerage?
At small team sizes, per-seat cloud AI is the cheaper line item, and we publish that comparison openly. The unit earns its place on data control and the compounding file knowledge, then becomes the cheaper option as the team grows.
Who sees the data?
Your team, on your network. Ermos monitors the hardware's health, never the files, and support sessions happen only when you start them.
